Payment Reminders and Invoicing
Getting paid on time shouldn't require awkward follow-up emails. ALIVE handles payment reminders automatically and gives you professional invoices for every transaction.
Automatic Payment Reminders
Each proposal has a configurable reminder frequency that controls how often clients are nudged about outstanding payments.
- Set the reminder frequency in days (e.g., every 7 days)
- The system tracks the next reminder date automatically
- Reminders are sent to the signer's email on file
Payment Tracking
Every payment is tracked with full details:
- Payment type — Deposit, Full, Remaining, or Partial
- Amount — In the proposal's currency (USD or ILS)
- Status — Pending, Paid, or Failed
- Label — A human-readable description of the payment
- Paid date — When the payment was completed
- Receipt URL — A link to the Stripe receipt
You can view all payments for a proposal from the proposal detail page. Each payment record shows exactly what was paid, when, and the Stripe receipt link.
Invoices
ALIVE generates PDF invoices for individual payments. These invoices include:
- Your business branding — name, logo, and colors
- Client information — name and email
- Payment details — type, amount, currency, and date paid
- Proposal reference — linked back to the original proposal
- Services breakdown — the items and pricing from the proposal
To download an invoice:
- Open the proposal from your dashboard
- Navigate to the payments section
- Click the invoice icon next to any completed payment
- The PDF invoice downloads automatically
Stripe Receipts
In addition to ALIVE's invoices, every completed payment comes with a Stripe receipt URL. This is the official payment receipt from Stripe that clients can use for their own records. The receipt URL is stored with each payment record and accessible from your dashboard.
Keeping Track of Everything
Between the proposal list filters and per-proposal payment views, you always know:
- Which clients have paid in full
- Which have outstanding deposits
- Which are overdue
- The total amount collected vs. the proposal total
This gives you a clear financial picture without needing separate accounting software for your photobooth business.
