After the Event: Gallery Management & Archiving

The event is over, the booth is packed up, and you're back home. But the job isn't quite done yet — your gallery is full of great content, and there are a few things worth doing before you move on to the next gig.




Open the Gallery for your event and scroll through the photos. This is your chance to:


  • See what worked and what didn't
  • Spot any issues (bad lighting, cropping problems) to fix for next time
  • Find standout shots for your portfolio



Downloading Photos for Your Portfolio


Your best booth photos are marketing gold. Download the ones that showcase your work:


  1. Open the Gallery
  2. Find a photo you love
  3. Tap to view it full-screen
  4. Tap Download to save it to your device


For batch downloads, use selection mode to grab multiple photos at once.


Great photos from real events are more convincing than any ad you could run. Save the best ones and use them on your website, social media, and sales materials.




Your client will probably want to see all the photos from their event. Share the gallery link with them:


  1. Open the event in ALIVE
  2. Find the Gallery Link option
  3. Copy or share the link directly with your client


They can browse and download photos from their browser — no app needed.


Sharing the gallery with your client after the event is a professional touch that sets you apart. It shows you go the extra mile.



Download Before Expiration


Gallery links and cloud-stored photos have a 2-year expiration. After that, they're removed from the cloud.


If you want to keep photos long-term:


  • Download them to your device or computer
  • Back them up to your own cloud storage (Google Drive, Dropbox, iCloud, etc.)
  • Don't wait — set a reminder if you need to, but download anything important well before the 2-year mark



Organizing Your Events


Over time, your event list will grow. Keep things tidy:


  • Name your events clearly — include the client name, event type, and date (e.g., "Johnson Wedding - March 2026")
  • Review old events regularly — if you've downloaded everything you need, you can clean up
  • Use consistent naming — it makes finding past events much easier when a client calls you six months later



Deleting Events You No Longer Need


Once you've downloaded all the photos and delivered them to your client, you can delete events to keep your account clean:


  1. Find the event you want to remove
  2. Delete it from your event list


This removes the event and its associated gallery data. Make sure you've saved everything you need before deleting — this can't be undone.



Post-Event Workflow Summary


  1. Review the gallery for quality and highlights
  2. Download your best photos for portfolio use
  3. Share the gallery link with your client
  4. Back up any photos you want to keep long-term
  5. Clean up old events when you're done with them


Treat every event as a chance to build your portfolio and strengthen client relationships. A quick follow-up with a gallery link goes a long way.
