Pre-Event Checklist

Nothing kills the vibe like a dead iPad or an empty ink cartridge halfway through a wedding reception. This checklist keeps you covered.

Print it out, screenshot it, tattoo it on your arm — whatever works. Just don't skip it.

The Day Before

  • [ ] iPad charged to 100% — and bring your charger to the event
  • [ ] iPad software updated — check Settings > General > Software Update
  • [ ] ALIVE app updated — open the App Store and check for updates
  • [ ] Template selected and previewed — open your event, confirm the template looks right
  • [ ] AI effects selected and tested — run a test capture with each effect you plan to use
• [ ] Sharing options configured — enable the methods you need (QR, SMS, email, print, native share)
  • [ ] Exit password set — so guests can't wander into your settings mid-event
  • [ ] Screen saver configured — set your attraction screen with the right branding or slideshow
  • [ ] Printer paper and ink stocked — check levels, load fresh paper, and bring spares
  • [ ] Backup supplies packed — extra paper, ink cartridges, microfiber cloth for the lens

At the Venue (Arrive Early!)

  • [ ] Set up your booth hardware — iPad, stand, printer, lighting, backdrop
  • [ ] Connect to Wi-Fi — confirm the venue's network is working
  • [ ] Test internet speed — AI effects need a solid connection. Run a quick speed test (5 Mbps upload minimum recommended)
  • [ ] Connect your printer — pair it and confirm the iPad sees it
  • [ ] Run a test print — don't just assume it'll work. Print one and check the quality
  • [ ] Take a test photo with AI effects — make sure everything processes correctly end-to-end
  • [ ] Test sharing — scan the QR code yourself, send a test SMS or email
  • [ ] Have a backup hotspot ready — if venue Wi-Fi drops, a mobile hotspot can save the night
  • [ ] Confirm power access — make sure your booth, iPad, and printer can all stay plugged in
  • [ ] Go live on your event — select the right event and start the session

Quick Emergency Kit

  • [ ] Mobile hotspot (or phone with hotspot enabled)
  • [ ] Extra paper and ink
  • [ ] Charging cable and power adapter
  • [ ] Microfiber cloth for the camera lens
  • [ ] Business cards (you're going to get asked about your services)

One Last Thing

Arrive at least 45 minutes to an hour early. Setup always takes longer than you think, and you want time to troubleshoot if something's off. The last thing you want is guests lining up while you're still fumbling with the printer.

A smooth event starts with a solid setup. This checklist is your insurance policy — use it every single time.
